Privacy Policy
Prerniva Foundation respects the privacy of every donor, volunteer, partner and visitor. This policy explains what information we collect, why we collect it, how we keep it safe, and the choices you have. We do not sell, rent or trade your personal data — ever.

1. Information We Collect
We collect only the information necessary to deliver our charitable work and to comply with Indian law.
- Identity and contact details: full name, email address, mobile or landline number, and postal address.
- Donation details: donation amount, date, frequency, payment mode, transaction reference and programme designation.
- PAN (Permanent Account Number): collected only from donors who wish to receive an 80G tax exemption receipt, as required under the Income Tax Act, 1961.
- Volunteer information: areas of interest, availability, skills, education or professional background, and any details you voluntarily provide.
- Communication records: enquiries, form submissions, newsletter subscriptions and correspondence with our team.
- Technical data: IP address, browser type, device type, pages visited and approximate location, collected in aggregate to keep the site secure and improve usability.
We do not knowingly collect personal information from children. Any information about beneficiary children is collected offline, from parents or legal guardians, under strict child-protection safeguards, and is never published in identifiable form.
2. Payment Information
All online payments are processed through RBI-authorised, PCI-DSS compliant payment gateway partners. Prerniva Foundation does not collect, view or store your complete card number, CVV, UPI PIN, net-banking credentials or any other payment authentication data on its own servers. We receive only the transaction status and a masked reference from the gateway.
3. How We Use Your Information
Your data is used strictly for the following limited purposes:
- Processing your donation and recording it accurately in our books of account.
- Generating and emailing your donation receipt and 80G tax exemption certificate, where applicable.
- Donation tracking — maintaining donor history, acknowledging recurring support and preventing duplicate or erroneous entries.
- Sending updates on programmes, impact reports, newsletters and appeals, where you have opted in.
- Responding to your enquiries, volunteer applications and CSR partnership requests.
- Meeting statutory obligations under the Income Tax Act, FCRA (where applicable), and audit and reporting requirements.
We do not use your personal data for automated profiling, behavioural advertising or any commercial purpose unrelated to our charitable objectives.
4. We Never Sell or Share Your Data
Prerniva Foundation will never sell, rent, lease, trade or otherwise commercially disclose your personal information to any third party. Your data is shared only in these narrowly defined situations:
- With payment gateway partners, strictly to complete a transaction you have initiated.
- With our statutory auditors, chartered accountants and IT service providers who are bound by confidentiality obligations and process data only on our instructions.
- With government authorities, including the Income Tax Department, where disclosure is mandated by law, court order or regulatory requirement.
Beyond these cases, no donor list, contact database or PAN detail is disclosed to any corporate, marketing agency, fundraising vendor or other organisation.
5. How We Store and Secure Your Data
- Data is transmitted over encrypted HTTPS/TLS connections.
- Donor records, including PAN details, are stored in access-controlled systems available only to authorised finance and administration personnel on a need-to-know basis.
- Passwords and access credentials to our systems are protected and reviewed periodically.
- Physical documents such as signed donation forms are kept in locked storage at our registered office.
- Staff and volunteers handling donor data are briefed on confidentiality obligations.
While we apply reasonable security practices, no method of transmission or storage is entirely infallible. In the unlikely event of a data breach affecting your information, we will notify affected individuals and the relevant authorities without undue delay.
6. Data Retention
Donation records, receipts and PAN details are retained for the period required under the Income Tax Act, 1961 and other applicable Indian laws — generally a minimum of eight financial years — after which they are securely deleted or anonymised. Newsletter and enquiry data is retained until you ask us to remove it.
7. Cookies and Analytics
Our website uses only essential cookies required for the site to function, and may use privacy-respecting analytics to understand aggregate traffic patterns. We do not use cookies to build advertising profiles. You can block or delete cookies through your browser settings; core parts of the website will continue to work.
8. Your Rights and Choices
- Access — request a copy of the personal data we hold about you.
- Correction — ask us to correct inaccurate or outdated information.
- Deletion — request erasure of your data, subject to statutory record-keeping obligations.
- Opt-out — unsubscribe from newsletters and appeals at any time using the link in our emails or by writing to us.
- Withdraw consent — withdraw permission for optional uses of your data at any time.
To exercise any of these rights, email Inquiry@prernivafoundation.in from your registered email address. We will respond within 30 days.
9. Changes to This Policy
We may update this Privacy Policy to reflect changes in our practices or the law. The revised policy will be posted on this page with an updated revision date. Material changes affecting donors will be communicated by email where feasible.
